The IKYA Recruitment Certification

The IKYA recruitment certification initiative was launched in March,2013 and our first programme was delivered in partnership with the WE School, Bombay. The primary aim of the programme is to familiarize students specializing in HR with a practical approach and finer aspects of recruitment. This is the first time that a business organization like IKYA is investing 36 hours of its senior executives’ time in teaching the course along with the practical work.

Most HR students have a less-than-acceptable appreciation of the recruitment function, a critical role that HR plays in organizations. In fact, a study reveals that most organizations spend nearly 50% of their time in recruiting people, and about 90% of our HR graduates are exposed to recruitment only in their first jobs. At IKYA, we felt there is a dire need in preparing HR students to deal with this crucial role and the IKYA Recruitment Certification Programme is our way of giving back to the community.

The program covers five modules including a mix of real time examples, market trends, workshops and professionals from IKYA engaging with the students on multiple levels so that when they enter the corporate world the science of identifying talent is prioritized; helping organizations scale up with the right people and leaders.

The program was extremely well received and the first batch of 51 students was certified by IKYA after a thorough verification of their understanding of the recruitment business.

About the Project/Assignment – To provide end-to-end recruitment process outsourcing for management-level talent (Team Leaders to Senior Managers) in F&A, Analytics, IT & Audit.

IKYA’s Contribution – IKYA provided the client with a dedicated team who acted as the recruitment arm of the client. This team supported all the recruitment activities for talent acquisition at the management level. The team managed end-to-end recruitment activities, from creating job descriptions, to hiring the right talent, managing offers, salary negotiations and talent retention. The recruitment process followed by the IKYA team was in line with the client process, ensuring high quality, low cost and quick turnaround, allowing the client to focus on core HR activities.

About the Project/Assignment – The client had over 500 joinees per month and was looking for a partner to manage the offer process for them. IKYA was selected as the partner to provide a complete offer management solution to the client with a focus on creating candidate delight, increased conversion on offer to joining, and above all ensuring a robust process from a short listed candidate to being offered and joining.

IKYA’s Contribution – IKYA provided the client with a multi-location back-end team that managed all transactional activities from the time of selection to hiring. The IKYA team worked cohesively as a part of the client’s recruitment team, managing candidate queries, document collection, liaising with various channel partners, assisting in relocation, keeping candidates aware of the process steps and updates. The IKYA team kept in touch with candidates throughout, from the offer letter phase to the joining period, providing them the relevant information about their candidature, the organization and resolving any queries, issues or concerns that the candidate may have during this period. The IKYA team also prepared the joining dockets with all relevant forms, paperwork etc., and enabled a smooth joining for the candidate. The team took additional steps to create candidate delight till the time of candidate joined.

About the Project/Assignment – The client was setting up a new power plant and was looking at an RPO solution to identify and hire resources for their O&M phase. IKYA was to support their O&M hiring of 60-70 professional (mostly engineers in disciplines such as mechanical, electrical, civil, instrumentation etc.) across levels (Assistants to Deputy General Managers) and departments.
IKYA’s Contribution – IKYA set up a dedicated team of consultants for identifying professionals from across the country. The team facilitated the interview and selection process and acted as an extended arm of the client’s HR team, working with the respective department heads, understanding their requirements, providing them with relevant candidates for the role and engaging them throughout the interview process.
IKYA was an essential part of the end-to-end recruitment cycle, starting with sourcing candidates based on the skill set, prerequisites to facilitating the interviews both telephonic as well as personal interviews (there was always a representative from IKYA at the interview venue who would facilitate the interview process), arranging compensation details for short-listed candidates, to setting expectations to offer roll outs. IKYA also managed the reference check process, medical process and engaged with short-listed candidates for joining formalities.
One of the key achievements was the management process in the stipulated time in spite of all the challenges like identifying talent from various organizations, spread across different regions, across India and overcoming the fierce competition from within the industry. One of the major challenges was to educate prospects about the organization, which was relatively a new entrant in India. The other being the need of relocation which involves cost and discomfort for the family.
Apart from this IKYA also played an important role in identifying and closing a few key positions including a GM and on-site doctor for the client.

About the Project/Assignment – To recruit, set up and manage a team of associates located at the client’s manufacturing plant at a remote, rural place.

IKYA’s Contribution – IKYA set up a delivery team and tied up with institutes near the location. Additionally, the team positioned kiosks near the village to shortlist and sign-up associates. IKYA was successful in hiring 220 associates in 7 days. Once the people were identified, IKYA provided them with uniforms, safety kits and placed a hub office with two supervisors to manage the team’s performance. IKYA also organized and managed associate accommodation, security, safety and facilities management. IKYA managed the direct lease agreements with owners, supervised and coordinated for kitchen arrangements, transportation facilities to plant on daily basis along with effective associate management at the plant.

About the Project/Assignment – To recruit manpower and manage sales associates for the client across India.

IKYA’s Contribution – IKYA was responsible for recruiting and managing sales associates for the client across India. Data was collected for sales staff and analyzed for location-wise, model-wise sales etc. Tracking of targets versus sales, compiling of reports through SMS inputs and excel inputs, daily & weekly MIS management was done by IKYA. Apart from this, IKYA also managed the attendance and manpower planning at a location and designation level.
